1. Who we are & who can join
EatWell Kitchen ("EatWell", "we", "us") operates a membership-based campus dining service for students and staff of participating institutions in Ghana, currently including TTU (Takoradi) and KNUST (Kumasi), with more campuses added over time.
Membership is open to individuals 16 years and older. You are responsible for providing accurate registration details (full name, student ID where applicable, phone number and email). Misrepresentation may result in suspension without refund.
2. Membership packages & payments
Packages: Basic, Standard, Royal Fellow and Founders Pass are offered per semester or monthly. Pricing, weekly claim counts and perks are as displayed on the Packages page at the time of purchase.
Payment: All prices are in Ghana Cedis (₵) and include applicable taxes unless otherwise stated. Payments are accepted via mobile money, bank transfer or cash at the counter. A reservation is only confirmed once payment is received and a Member ID / QR card has been issued.
Registration ceiling: Each email address may register a limited number of fellow cards (currently capped per our Fair-Use policy). When you reach the ceiling, an administrator may reset your quota at their discretion for genuine cases (lost card, family account, etc.).
Renewals: Memberships do not auto-renew. You may renew, upgrade or downgrade your package at any time; unused weekly claims do not roll over between billing cycles.
3. Meals, reservations & pre-orders
Daily window: The kitchen serves between 10:00 AM and 2:00 PM, Monday to Friday, subject to campus calendar and stated holidays.
Pre-orders: Meals reserved through the app are prepared based on the menu and price displayed at the moment of confirmation. Final price is recomputed by the kitchen at redemption against the official meal pricing table — this protects both you and the kitchen from accidental tampering. If the recomputed amount differs from your reservation, the kitchen will inform you before serving.
Availability: Meals are subject to availability. If a chosen item is sold out, we will offer the nearest substitute at the same or lower price.
No-shows: Reservations not claimed within the daily window are forfeited and not refundable. Weekly member claims expire at the end of each calendar week.
4. QR cards, accounts & security
Your QR Membership Card is personal and non-transferable except where explicitly permitted (e.g. a gifted Food Pass). Sharing your card, screenshot or member ID with non-members is prohibited and may result in suspension.
You are responsible for safeguarding your account credentials and your phone. Lost or stolen cards should be reported immediately so we can revoke and reissue. EatWell is not liable for meals claimed before a card is reported lost.
Staff may request a secondary identity check (student ID or photo) when there is reasonable doubt about a scan.
5. Gift Food Passes
Gift passes are purchased by one fellow ("buyer") for a named recipient. A unique GIFT-XXXXXX token is generated and may be redeemed once, at any participating campus, within the validity period stated on the pass.
Gift passes are non-refundable once issued, but the buyer may request reassignment to a different recipient before redemption, subject to staff verification.
Expired or already-redeemed passes cannot be reactivated.
6. Food safety, allergens & health disclaimer
Our kitchen prepares meals containing common allergens including peanuts, tree nuts, dairy, eggs, wheat (gluten), soy, fish and shellfish. While we take reasonable care, we cannot guarantee an allergen-free environment due to shared preparation surfaces.
If you have a food allergy, intolerance or specific dietary requirement, you must inform staff before ordering. EatWell is not liable for adverse reactions where the allergy was not disclosed.

7. Refunds, cancellations & disputes
Memberships: Package fees are non-refundable once activated, except where required by Ghanaian consumer law. Pro-rata refunds may be granted at our sole discretion for documented medical withdrawal from campus.
Meals: If a served meal is materially defective (e.g. spoiled, wrong order), report it to staff on the spot — we will replace it or credit a future claim. We do not refund meals after they have been consumed in full.
Disputes: Raise any billing or service dispute within 14 days of the transaction by emailing hello@eatwellcampus.app. We aim to resolve all issues within 7 working days.
8. Conduct in the dining space
The EatWell table is a fellowship space. We ask that you treat staff, fellow members and the facility with respect. Harassment, theft, intoxication, or damage to property may result in immediate removal and termination of membership without refund.
9. Data, privacy & communications
We collect only the information needed to operate your membership (name, contact details, campus, photo where provided, transaction history). Sensitive member data is not broadcast over realtime channels and is accessible only to authorised staff.
By registering, you consent to receive transactional messages (reservation confirmations, claim reminders, receipts). You may opt out of marketing messages at any time without affecting your membership.

10. Service availability & limitation of liability
EatWell is a developing service. Features, menus, prices and campus availability may change without prior notice. The platform is provided "as is" without warranty of uninterrupted operation.
To the maximum extent permitted by law, our total liability arising from your use of EatWell in any 12-month period is limited to the fees you paid us during that period. We are not liable for indirect or consequential loss (e.g. missed classes, exam stress, lost study time).
11. Changes to these terms
We may update these terms as the ecosystem grows. Material changes will be announced in-app and via email at least 7 days before they take effect. Continued use of EatWell after the effective date constitutes acceptance.
